Marketing Coordinator
POSITION OVERVIEW
We are seeking a highly organized, detail-oriented Marketing Coordinator to join our dynamic and growing marketing and business development team at a top-tier Bay Area general contractor. With a diverse portfolio spanning commercial, residential, life sciences, advanced manufacturing, and data center projects, our firm is looking for a creative problem solver who thrives in a fast-paced, deadline-driven environment. This role will be central to driving marketing systems, content development, and proposal execution that help win new work and strengthen our brand across Northern California and beyond. This role is fully on-site in our San Francisco office.
RESPONSIBILITIES
Content + Collateral Management
- Maintain and organize key marketing content, including team resumes, project descriptions, firm profiles, and boilerplate copy.
- Regularly update and manage digital asset libraries, including photography, videos, logos, templates, and project folders.
- Assist in drafting, editing, and formatting content for proposals, qualifications, presentations, case studies, and award submissions.
Proposal + Pursuit Support
- Collaborate with business development leads and operations teams to prepare compelling pursuit materials for public and private sector opportunities.
- Ensure all submissions are visually polished, brand-consistent, and strategically positioned.
- Track RFP/RFQ activity, pursuit status, and hit rates using internal tracking tools or CRM (Salesforce or similar).
Branding + Visual Identity
- Coordinate updates and orders for branded collateral including signage, business cards, brochures, and apparel.
- Support consistency of branding across marketing deliverables, templates, and digital platforms.
- Collaborate with graphic design resources to elevate visual storytelling.
Digital + Web Coordination
- Assist with ongoing website content management, including staff updates, project news, and press releases.
- Support social media content planning and execution, if applicable.
- Organize and archive project photography and video assets.
Events + Client Engagement
- Help plan and coordinate internal and external events, including trade shows, conferences, project milestones, and client appreciation efforts.
- Coordinate event collateral, branded giveaways, and post-event follow-up materials.
- Assist with coordination of professional photography and client gift preparation.
Data + Reporting
- Maintain pursuit and backlog data tracking for marketing reporting and strategic planning.
- Assist with organizing internal dashboards, reports, and presentations that visualize marketing performance and business development activity.
REQUIREMENTS
- 1+ years of experience in marketing, communications, or operations within a professional services or AEC (Architecture, Engineering, Construction) environment preferred.
- Strong attention to detail, organization, and time management; ability to juggle multiple deadlines across teams.
- Advanced proficiency in Microsoft Office (especially PowerPoint and Excel); working knowledge of Adobe Creative Suite (InDesign, Illustrator) preferred.
- Experience with CRM tools (e.g., Salesforce, HubSpot), project management tools (e.g., Asana, Trello), or analytics dashboards is a plus.
- Strong written, editing, and verbal communication skills.
- Comfortable working independently as well as in collaborative team environments.
- Passion for storytelling, design, and the built environment is highly desirable.
