Payroll Specialist
Position Overview
The Payroll Specialist is responsible for supporting all aspects of payroll operations, ensuring timely and accurate payroll processing across multiple entities. This role partners closely with internal teams and external payroll providers to maintain compliance with union agreements, company policies, and applicable regulations. The ideal candidate is detail oriented, highly organized, and able to thrive in a fast-paced construction environment with complex, multi union payroll requirements. This position is onsite in our Walnut Creek office.
Responsibilities
- Process weekly union payroll for various unions across multiple companies in collaboration with the payroll team.
- Ensure accurate and timely payroll processing, including wages, overtime, deductions, taxes, and union contributions.
- Maintain and update employee payroll records, including compensation changes, job classifications, exemptions, benefits, and voluntary deductions.
- Review and reconcile payroll data; research and resolve discrepancies in a timely manner.
- Prepare payroll related reports for management, finance, and external stakeholders as needed.
- Support certified payroll reporting and compliance requirements, as applicable.
- Maintain payroll operations in accordance with company policies, union agreements, and federal, state, and local regulations.
- Assist with year-end processing.
- Perform additional duties and special projects as assigned.
Qualifications
- Minimum of 3 years of payroll experience, preferably in construction or a multi union environment.
- Bachelor’s degree in Accounting, Finance, Business Administration, or related field is a plus.
- Experience processing in-house payroll in an integrated accounting system. Construction related preferred.
- Working knowledge of union agreements, prevailing wage, and certified payroll reporting strongly preferred.
- Strong attention to detail with excellent organizational and follow through skills.
- Ability to manage multiple deadlines in a fast-paced environment.
- Proficient in Microsoft Excel and comfortable learning new systems and technologies.
- Strong communication and interpersonal skills with a collaborative, solution oriented mindset.
